Rotaaa is free, and this page says what that costs you
There is no paid tier to move up to, no card asked for at sign-up, and no payment processing anywhere in the product. What follows is the rest of the answer: what you get, where the real ceilings are, what pays for it, and what would happen if that ever stopped.
The price
£0per month, for the whole product
Every capability is in front of you from the first week. Nothing is held back behind a tier, no trial clock counts down, and there is no upsell inside the product because there is nothing to sell you. Rotas, people, leave, and time and attendance are the four things Rotaaa does, and all four are included for everybody.
What the limits actually are
No limit is applied to people, sites, teams or job roles. Nothing in the product counts seats, and there is no plan for a count to be measured against — a business with four staff and a business with four hundred are running the same software on the same terms.
Two ceilings do exist, and it is better to read them here than to meet them on a Friday afternoon. Invitation emails are metered at three an hour to any one address and sixty an hour for a whole business, which is well above onboarding a team in one sitting and well below a script. And two of the downloads — the people list and the leave register — refuse above ten thousand rows rather than handing back a file that has quietly been cut off at the bottom; narrow the range or the filter and ask again.
If you are bringing several hundred staff across at once, tell us before you start. We would rather plan that week with you than meet it as a surprise on either side.
What pays for it
Rotaaa is built and run by ImKyleJK Studios, and it is the work we are judged on. A server and a database cost what they cost, and that is met by the studio rather than by you. There is no investor expecting a return on it, no advertising, and nothing about your business is sold, shared outside the providers named in the privacy policy, or used to train anything.
That is the whole funding model, and it is deliberately a small one. It is also why the product is worth trusting with a rota: the only thing the studio gets from this is a product that has to be genuinely good in the hands of a business that depends on it.
What happens if that stops
The honest answer is written into the terms rather than promised loosely here. If Rotaaa ever stops being free, it will be announced on this site before it takes effect, and it will not be applied retrospectively to data you have already entered or to a period you have already used. If a capability is ever withdrawn, that is said plainly rather than done quietly, and far enough ahead for you to take a copy of the data behind it.
Taking that copy never needs our permission or our involvement. Your organisation settings hand you the whole account — people, rotas, leave, allowances and timesheet entries — as one file, at any time, and individual screens export to a spreadsheet. For thirty days after a business is closed we will still provide a copy on request.
The two documents that hold us to all of that are worth reading before you commit a rota to anything free. The terms of use cover cost, changes and what happens when you leave. The service level agreement is the more useful of the two here, because it is where we say what we do not promise: there are no service credits, and no recovery point or recovery time is committed to while a restore has not been rehearsed end to end.
Questions a price of nothing invites
- Is there a catch in the data?
- No. There is no analytics provider, no advertising network, no session recorder and no chat widget in the product; the only cookies are the ones that keep you signed in. Everything held about your business, and everybody outside the studio who touches any of it, is listed in the privacy policy.
- What is the support like at this price?
- The same for everybody, because there is no tier to buy your way up to. A message reaches the people who would have had to fix it anyway, with no queue and no first-line script in between, and the response targets are written down on support rather than implied.
- How do I know it is still being worked on?
- By reading what shipped and when. The changelog is dated and written by hand, and service status carries the availability we have measured rather than one we would like to claim.
- Is it safe to put staff records in something free?
- That is the right question, and it has its own page. Each control is named on security alongside what it does not cover.
