A free rota planner for care: a waking night from 20:00 to 08:00 is one shift and twelve hours, a gap in cover has a row of its own instead of being an empty cell, and what was actually worked is recorded beside what was planned.
Cover is not a preference. A shift nobody has picked up is a shift somebody still has to do, so the difference between a full rota and a short one has to be visible while you are writing it rather than discovered on the morning.
Nights cross midnight. A waking night starting at 20:00 finishes the next morning, it belongs to the night it started, and twice a year the clocks move underneath it.
And afterwards somebody has to be able to say who was on, for how long, and whether that matched the plan.
A waking night from 20:00 to 08:00 is a single twelve-hour shift, filed against the night it starts rather than split across two days. Paid time is measured between the two real instants through your own time zone, so the night the clocks go back is thirteen hours and the night they go forward is eleven — not twelve because that is what the two times look like.
A shift with nobody on it does not disappear into a blank cell. It sits in an open-shifts row where it is as visible as a filled one, and anybody eligible can claim it — granted straight away or held for a decision, depending on how you set it. Archiving somebody turns their future shifts into open shifts by an explicit choice rather than deleting them.
Approved leave, declared unavailability, rest gaps between shifts and weekly hours caps are all checked as the shift is written rather than reported back to you afterwards. A double-booking is refused outright, the weekly cap can be set to refuse as well, and anything else you overrule deliberately and knowingly.
Staff clock in and out from the browser at each end of their shift, with breaks recorded as their own events. The time comes from the server and never from the device, so a phone with the wrong clock cannot record a shift that did not happen. Every timesheet line sets the clocked hours beside the scheduled ones, lateness and early leaving are measured separately against a grace period, and editing a day you have already approved withdraws that approval so a correction never slips through unseen.
Each person keeps their own availability up to date from their own screen — all day or a window, with a note, up to twelve weeks out — and the planner sees it while writing the rota. Set somebody’s usual working week and their days off shade the grid, so nobody is scheduled on a day they never work.
No location of any kind is recorded, anywhere in the product. A punch records the time, the shift it belongs to and any note the person typed — Rotaaa never asks a browser or a phone where it is, never stores a position and takes no photograph. If the question you need answered is whether somebody is physically at the home, this is not the tool that answers it.
There is no shared-device sign-on. Everybody starts and ends their own shift from their own account in their own browser, and there is nothing to install on a device by the door.
Training records, certifications, DBS expiry and supervision notes are not in Rotaaa. Documents are not built, and a rota that quietly assumed a qualification was still current would be worse than no rota at all — keep those where you keep them now. Care planning, medication and inspection evidence are not part of this product either.
