A free rota planner for depots and warehouses: shifts built around the windows they have to hit, overnight runs measured in real hours, and a published week that reaches people who are never at a desk.
The rota is built backwards from the windows. A trunk that has to leave at 04:00 decides the shift rather than the other way round, and a run that starts at 22:00 finishes on a different date to the one it began on.
Most of the team never come into an office. They read the week on a phone, in a yard or a cab, and a change they did not see is a change that did not happen.
And overtime is decided long before anybody adds it up — usually by the shift somebody wrote on Tuesday without checking what that person had already been given.
Each depot is a site with its own teams and job roles. A manager narrowed to their own sites plans that depot and sees nothing else, while somebody who covers two of them appears on both rotas without needing two records. One person, one page, whichever depot they are at this week.
A shift from 22:00 to 06:00 is one shift filed against the night it started, and its paid minutes are the difference between two real instants rather than a subtraction of two wall-clock times. The two weekends a year when the clocks move therefore gain and lose an hour of paid time honestly, instead of quietly reading as eight hours both ways.
Contracted and maximum weekly hours belong to the person. A shift that would take somebody past their weekly cap is flagged while you are writing it, and the cap can be set to refuse outright. Alongside it, the hours and cost report prices the hours you have rostered at the rate in force when each shift was written — so the week has a number before it is worked, not after.
A draft is invisible to your staff until you publish it, and the publish control says how many shifts are about to go out before you send them. Every person then controls what they hear about, with a switch for each event and each channel, and every notification email carries a link straight back to that screen.
Drivers and yard staff raise swaps and drops in the app, the other person answers, and a manager decides. Nobody decides their own request, and a request cannot be raised against a shift that has not been published or one that has already happened — so the record of who agreed to what is the rota itself.
There is no vehicle tracking and no location data of any kind. Rotaaa records when somebody started a shift, never where: no position is asked for, captured or stored anywhere in the product, by design rather than by omission. If you need to know where a vehicle is, that is a telematics system and this is not it.
Tachograph data, drivers’ hours and Working Time Directive compliance are not in Rotaaa. It will tell you that a shift breaks a rest gap or a weekly cap you have set; it will not certify anybody against the driving rules, and it should not be relied on as though it had.
Routes, loads, vehicles and warehouse tasks are not scheduled here. Rotaaa schedules people, and hands the hours to whatever pays them as a spreadsheet.
