A free rota planner for shops: every branch on one rota, managers narrowed to their own, and the cost of the plan visible while you are still writing it rather than after it has been worked.
Four shops, four rotas, and one person covering two of them. Whoever runs the area wants to read across all of them; each shop manager should see their own and nobody else’s.
Hours move with the season. December is not October, a bank holiday weekend is not a Tuesday, and most weeks are a variation on a shape you have already written rather than a blank grid.
And the number that decides all of it — what this week costs — usually arrives long after the week has been worked.
Sites, departments and job roles are part of the structure rather than a label on a shift. A manager can be narrowed to their own sites and departments, so they plan their patch and see nothing else, while an owner or admin reads across all of them. Staff see no cost figures anywhere, including the cost of their own shifts.
Read a month across a site in a single view rather than clicking through four weeks, with a note pinned to a date — a delivery, a stocktake, a late opening — where something out of the ordinary is happening.
Save a week as a template and apply it, or copy a week or a date range onto another. A seasonal pattern is written once and reused, and what you actually edit each time is the handful of shifts that genuinely differ.
The hours and cost report prices the hours you have rostered, at the rate in force when each shift was written. That is what the plan costs, while you can still change it — it is deliberately not what the week will be paid, which comes from what people actually clock. Because a shift keeps its own rate, a pay rise today never rewrites what last quarter cost.
Contracted and maximum weekly hours live on the person. A shift that would take somebody past their weekly cap is caught while you are writing it, and the cap can be set to refuse outright rather than warn — which is the setting most people want the week they discover they needed it.
There is no sales forecast and no labour-percentage target. Rotaaa does not know your takings, so it will never tell you that Saturday needs one fewer on the floor. It tells you what your plan costs and leaves the judgement where it belongs.
There is no till, EPOS or footfall integration, and no payroll. Timesheets leave as a spreadsheet of hours for whatever pays your people.
Stock, deliveries and shrinkage are not in the product at all. Rotaaa schedules people, and does that one job properly rather than becoming a retail suite.
